Job Description:
The Administration Clerk will be required to work as a member of a dynamic front line team in a highly stressful and exceptionally high volume environment, focusing on exceptional frontline customer service whilst guiding the patient through the full pre-admission function relating to both Private and all Medical Aid Services taking into account a multitude of medical and surgical procedures.
Job Requirements:
• Matric/Grade 12
• Computer literacy on Microsoft Word, Excel, Email and Internet is a pre-requisite
• Excellent Telephone Etiquette
• Maintain administrative records to the system and report statistics when required.
• General administration duties.
• Previous experience in a hospital environment would be advantageous
• Computer literacy on Microsoft Word, Excel, Email and Internet is a pre-requisite
• Knowledge of Medical Aids
Responsibilities:
• Meeting and greeting visitors, and directing them to their meeting or appointment.
• Ability to co-ordinate Sessional Suites rooms, patients and doctors.
• Act as a liaison between doctors and hospital management within the new medical centre
• Good interpersonal skills
• Able to build good relations between staff, doctors, management and other service providers
• Be computer literate
• Ability to work well under pressure and to maintain effectiveness during changing conditions
• The ability to work effectively and co-operatively with others by establishing and maintaining good working relationships.
• Displaying a good customer- focus by developing and sustaining productive customer relationships
• The ability to prioritise by managing time and resources to ensure that work is completed effectively
• Ability to produce work of a high quality standard by accurately checking processes and tasks
• Maintaining a satisfactory level of technical and professional skill or knowledge by keeping abreast of current development and trends in the medical related field impacting on the post
• Ability to set high standards of performance for self and others to ensure the successful completion of assignments or tasks
• Ability to communicate well at all levels (both written and verbal)
• Performs general administration
• Attends to patients / customers / visitors both telephonically and in person
• The ability to multi task and work at a fast pace.
• Attend to all patients, customers and visitors needs within the professional and legislative boundaries provided.
• Responsible for the preparation of the reception area for each working day, and have all front desk activities fully operation at the start of business hours.
• Assist patients to accurately complete appropriate forms and documents required for hospital admissions.
• Capture admission and discharge information of patients in a professional, friendly and timeous manner, focusing on patient and visitor’s needs.
• Risk profiling clients for affordability in line with the National Credit Act and requirements.
• Identify financial risks pro-actively and communicate these to the patient and internal risk chain as per protocol
• Collect payments according to protocols and prepare financial registers daily, accountable for receipting functions as per policy.
• Handle and manage the continuous flow of information between doctor’s rooms, patient, medical schemes, MHC’s and other service providers.
• Maintain administrative records to the system and report statistics when required.
• General administration duties as will be required from time to time.
